What a cleaning invoice needs to show
A cleaning invoice should state the service level: standard, deep, or move-out, since the price depends on which one it was.
List any add-ons, like inside the oven or inside the fridge, as their own lines instead of folding them into one number.
If the home has pets or an unusual amount of clutter, note it on the invoice too. That's often why a visit ran longer than usual.
Sales tax on cleaning services varies by province and state; some tax it and some don't. Check your local rule before deciding what to charge.
- Business name, address and contact details
- Customer name and the service address
- Invoice number and date of the visit
- Service level and any add-ons, listed separately
- Frequency, if it's a recurring visit
- Tax, shown as its own line
- Total due and how to pay
How to word your line items
Name the service level plainly: "standard house cleaning" or "move-out clean" tells the customer what they booked.
List each add-on by name, like "inside-oven add-on," rather than rolling it into the main cleaning price.
If you charge more for a first clean than a maintained one, say that directly on the line instead of leaving the customer to guess why.
Terms for recurring and one-time clients
A one-time or first-time clean is usually paid on completion, stated plainly on the invoice.
For a recurring weekly or biweekly client, a simple monthly statement can replace a receipt after every single visit.
State the payment terms the same way every time, whether it's the first clean or the fiftieth.
Even a long-time client should see the terms on the invoice, not just assumed from how things have always gone.
Common cleaning invoice mistakes
A full schedule doesn't always mean a profitable one, and a few invoice habits are usually why.
Most of these are fixed just by writing down the service level and the add-ons before you send it.
- Charging the same price for a maintained home and a neglected one
- Folding every add-on into one number instead of listing them
- No tax line, even where cleaning services are taxable
- No date or address, so the invoice can't be matched to the visit
- No frequency noted, so a one-time price gets assumed recurring
- Billing a first-time deep clean at the regular maintained-home rate
